MISSION STATEMENT

To assist the firm in organizing, maintaining, and accounting of all bookkeeping duties necessary to ensure accurate accounting and transparency of financial positions and key metrics

RESULTS / OUTCOMES (What you must get done.)

  • Attendance at firm huddle every Monday at 8:00 am
  • Attendance at team mini huddle Tuesday thru Friday at 8:00 am
  • Daily deposits into trust and operating accounts
  • Prepare daily financial reports
  • Quickbooks: Post all transactions daily.
  • Accounts Payable: Keep files with pdf’s of payables; organize approvals and pay twice weekly
  • Release advanced client costs twice weekly
  • Client settlement distributions: Confirm entries are correct, balance in QB and SA, and print checks twice daily.
  • Reconcile all bank statements monthly
  • Audit and follow up on all operating and trust unpaid checks quarterly
  • Sales Taxes – verify and pay gross receipts taxes monthly.
  • Holding account: update daily (Accounts Payable, Credit card (Spark), Sales Tax Payable, Payroll, etc.
  • Maintain firm credit cards (Spark, Capital One and American Express) including: download credit card transactions weekly and code; and reconcile credit card statement monthly
  • Payroll:
  • Finalize Bonus spreadsheet twice monthly
  • Post payroll payments to QB semi monthly after payroll.
  • Post 401K payments to QB semi monthly
  • Positive Pay: Daily upload of all checks issued

DUTIES / RESPONSIBILITIES


  • Attendance at any financial meetings with owner, executive team and CFO
  • ACH initiations for client settlements, reporting and positive pay.
  • Verify status of checks and provide images when requested.
  • Internal bank transfers when necessary

    To make sure that, at the end of the case, the client is satisfied and knows Parnall Law has stood up for, fought for, and given voice and value to his or her harm.

    RESULTS / OUTCOMES (What you must get done.)

    • Attend weekly firm wide huddle every Monday morning at 8:00
    • Attend daily team mini huddle Tuesday through Friday at 8:00 am
    • Attend weekly Friday calendar meeting at 8:00 am
    • Meet with Lead attorney weekly to go over metrics/kpis
    • Settle 95% of all cases within the evaluation amount.
    • Move cases from Pre-Litigation to Litigation stage within 90 days of negotiation, if case has not settled.
    • Ensure we can take our full fee on 95% of all cases (meaning we don’t have to reduce our fee because there is not enough money to pay all providers, subrogation claims, liens, and client).
    • Maintain a Good Call Conversion Rate of 95% or higher (signing wanted cases)
    • Achieve 95% positive reviews.

    DUTIES / RESPONSIBILITIES

    General

    • Timely review, edit, and approved all correspondence drafted by CM/Paras.
    • Be available 8 hours per day, if not out of office at meetings, hearings, depos or trial.
    • Show consistent growth in the complexity and value of cases you are settling.

    Intakes

    • Meet with clients to evaluate case for representation
    • Take all facts pertinent to liability, damages, coverage
    • Show compassion
    • Posture case by articulating client and office action items
    • Explain representation agreement and have sign

    Investigation

    • Evaluate needed investigation
    • Communicate with paralegal about what investigation tasks need to be completed
    • Determine if UM/UIM applies
    • Posture the case for trial or negotiations

    Negotiation

    • Meet with clients to evaluate and get authorization to negotiate
    • Meet with Lead or Full Value Committee to set firm evaluation amount
    • Negotiate with adjusters and keep client informed
    • Prepare case for mediation
    • Speak with adjusters, build and maintain negotiation relationships, aggressively negotiate and/or posture cases with adjusters where appropriate.
    • Make determination about filing suit or further negotiations
    • If filing suit, prepare client for litigation process

    Litigation

    • Draft pleadings and discovery for lawsuits
    • Compose discovery responses
    • Compose discovery requests
    • Prepare case for trial, arbitration, and/or mediation

    Parnall Law Firm seeks a Medical Records Paralegal to join our growing team.


    MISSION STATEMENT:

    Gathering complete medical records and bills related to each client’s case as performed by the Medical Records Retrieval Staff.

    Accurately and persuasively tell the client’s story in a draft demand letter, including a summary of the case for liability, and the client’s damages.

    Summarize other prior and subsequent medical records that may influence the client’s case.


    RESULTS/OUTCOMES (What you must get done):

    • Ensure medical records and bills are received within 60 days of maximum medical improvement.
    • Complete client authority/eval and draft demand letters within 1 week of receiving complete medical records and bills.
    • Ensure tasks never exceed 60.


    DUTIES/RESPONSIBILITIES:

    • Work with the medical records clerk to obtain all needed medical damages.
    • Estimate billing from the VA or work with attorneys/paralegals to determine whether to open subrogation and have bills created.
    • Review records and bills for relatedness, discrepancies, high billing, etc.
    • Order films of broken bones, head trauma, herniated discs.
    • Organize records, bills and evidence into demand packets.
    • Verify the accuracy of the Value Tab.
    • Highlight treatment records discussed in letter.
    • Review initial records for potential med mal cases and summarize.
    • Review helpful and harmful case information by using treatment update notes and hedonics from clients.
    • Assist paralegals and attorneys as needed with discovery, mediation or arbitration.
    • Supplement bills for discovery, mediation or arbitration.
    • Collect review and analyze records and bills from Defense.
    • Collect review and analyze defendant’s medical records, when necessary.
    • Attend Tuesday and Friday firm Huddles at 8:00 am
    • Attend Monday, Wednesday and Thursday mini huddles with your Team Lead
    • Attending weekly OOS meetings fully prepared with strategy notes in SmartAdvocate in accordance with the preparation guideline.
    • Attend and participate in weekly firm training, when possible
    • Monitor dashboard Metrics/KPIs and successfully work toward keeping those metrics in top shape.
    • Follow and maintain all firm policies and procedures.
    • Proportionately contribute to overall client satisfaction and firm revenue goals.
