MISSION

The Internal IT Coordinator is responsible for overseeing IT department workflow and all company equipment and resources and must have the capacity and experience to implement, maintain, and support enterprise-wide hardware and software. DUTIES/RESPONSIBILITIES

  • Install and configure all software and hardware and offer technical support to staff members. Troubleshoot issues and implement effective solutions in a timely fashion.
  • Ensure performance, availability and security of networks and all hardware/software utilized by the company.
  • Set-up and configure equipment and credentials for New Hires and revoke access for terminated staff.
  • Maintain equipment inventory and oversee employee equipment check-out process.

MISSION STATEMENT


The mission of the billing specialist is to ensure all providers submit their bills to health insurance or automobile (MedPay) insurance in a timely manner and further ensures the proper insurance carriers pay the provider bills in a timely manner, maximizing the net recovery for the client. Further, the billing specialist will verify all providers balances in a timely manner so that the settlement funds can be distributed to the client as soon as settlement funds are received.

  • Attend weekly firm-wide huddle every Monday morning at 8:00
  • Attend daily team mini huddle Tuesday through Friday at 8:00 am
  • Attend biweekly meeting with Team Lead to go over individual metrics, and metrics of Team, fully prepared with supporting data.
  • Opening all subrogation claims within 14 days of signed retainer.
  • Submit Med Pay and Health Ins information to all treating providers within 30 days of being retained.
  • Submit Med Pay and Health Ins information to all treating providers when providers are updated by Case Manager, within 15 days of new provider information.
  • Request final health insurance and med pay ledgers within 7 days of client finishing treatment and being moved to Prep.
  • Verify all outstanding medical balances within 7 days when a case moves into negotiations.
  • Verify any outstanding medical balances within 5 days of a case being settled.
  • Obtain final health insurance and med pay ledgers within 3 days of a case being settled.
  • Maintain a biweekly activity level of 1000 or more in SmartAdvocate
  • Ensure overdue tasks never exceed 60


DUTIES / RESPONSIBILITIES


  • Following up with all providers after providing med pay and health insurance info to ensure bills are being properly submitted to the proper carrier.
  • Maintain accurate record of all bills, payments, adjustments, and the remaining balances due to facilitate negotiating discounts by disbursement staff, paralegals and attorneys; thus maximizing recovery for our client.
  • Complete all checklist items in a timely fashion.
  • Coordinate benefits with available insurance including but not limited to Med Pay, Health Insurance, Medicaid, Medicare, Veterans Benefits and other Federal and State programs.
  • Open claims and submit necessary documents for Medicare and Medicaid benefits.
  • Dispute unrelated claims.
  • Maintain the client’s Medicare portal.
  • Answer incoming calls via the First Call Group
  • Monitor dashboard Metrics/KPIs and successfully work toward keeping those metrics in top shape.
  • Follow and maintain all firm policies and procedures.

MISSION STATEMENT


To make sure that all physical and digital documents are in their proper place in the case file and are easily accessible at all times.


To ensure that all new client welcome gifts and client disbursement gifts are delivered to accurate addresses via hand-delivery or United States mail.


DUTIES AND RESPONSIBILITIES

  • Attend weekly firm wide huddle every Monday morning at 8:00
  • Attend daily team mini huddle Tuesday through Friday at 8:00 am
  • Attend biweekly meeting with Team Lead to go over individual metrics, and metrics of Team, fully prepared with supporting data.
  • Scan, save, name and circulate mail to all appropriate staff within 1 business day.
  • Name and circulate all faxes to all appropriate staff withing 1 business day.
  • Respond to all case manager and paralegal requests accurately and promptly.
  • Send out all outgoing mail in the same day received.


Ingoing mail:

  • Picking up mail from the post office box no earlier than 10:00 am each day (all mail is delivered to post office box by that time-if you go earlier, it is likely all mail is not there yet)
  • Verifying original deposition transcripts and saving unopened originals for trial use. Further, ensuring we have a digital copy in the depositions folder, with all exhibits and if we do not, notifying the Paralegal.
  • Determining if a letter contains a settlement negotiation (offer), and copying the assigned attorney on the email to the case manager/paralegal.


Outgoing mail:

  • Saving large attachments to disc or thumb drive when necessary.
  • Verifying outgoing mail contains all enclosures noted.
  • Scanning certified return receipt requested slips into correspondence folder
  • Properly weighing all mail
  • Delivering all outgoing mail to the post office at the end of each day.


Faxes:

  • Breaking down large files and saving each subpart into appropriate parts of file. (i.e. an adjuster sends a letter with the police report, recorded statement and PD records: you must save the whole packet in correspondence, then save the police report in the evidence folder, save the recorded statement in the statements subfolder and the PD records in the appropriate subfolder.)
  • Determining if a fax contains a settlement negotiation (offer), and copying the assigned attorney on the email to the case manager/paralegal.
  • Answer incoming calls via the First Call Group

    • Scheduling client evaluation appointments with assigned attorneys within 2 days of drafts being completed by Medical Paralegals

    • Have status comments updated for all weekly OOS meetings in accordance with the OOS preparation guideline.


    DUTIES/RESPONSIBILITIES


    • Be familiar with each case in your caseload.
    • Posting all case information and case dates in SmartAdvocate.
    • When necessary, help with property damage claims
    • Speak to adjusters
    • Ensuring health insurance subrogation claims are opened timely, (or getting authority to NOT open them)
    • Ensuring Medicare subrogation claims are open timely on the portal
    • Review and update/edit evaluation forms and demand packages before attorney meets with client.
    • Draft correspondence for attorneys, save/name all documents in SmartAdvocate in accordance with Naming Protocol.
    • Calendar all case information pursuant to the calendaring protocol.
    • Answer incoming calls via the Final Call Group
    • Perform backup intake calls in accordance with intake protocol.
    • Meet with clients during intakes, transition to litigation meetings, and settlement disbursement meetings.
    • Work with all staff assigned to your cases to move the case to a desired conclusion.
    • Keep client updated with copies of file documents.
    • Post all costs including expected costs that we have not been invoiced for (investigators, consultants, etc.)
    • Monitor dashboard Metrics/KPIs and successfully work toward keeping those metrics in top shape.
    • Follow and maintain all firm policies and procedures.

    • Ensure that a scheduling conference has been requested within 30 days of all defendants filing an answer to the complaint (unless the case is valued at more than $100K and attorney has chosen not to request yet).
    • Ensure that scheduling hearings are set within two months of the request.
    • Calendar all scheduling order items within 5 days of receipt of the scheduling order.
    • Schedule mediations within 60 days of moving a case to LDD (Litigation, Discovery, Depositions).
    • Providing telephonic client updates every 6 weeks and having 10 or less outstanding updates at any given time.
    • Ensure overdue tasks never exceed 50.


    DUTIES / RESPONSIBILITIES


    • Attend Transition to Litigation meetings with client and Case Manager.
    • Speak to adjusters, defense attorneys, others involved in litigation.
    • Update client with copies of relevant file materials.
    • Work with legal assistant to e-file and e-serve court pleadings
    • Be familiar with state, local and federal rules for every jurisdiction in we practice in
    • Post all costs including expected costs that we have not been invoiced for (mediation, depositions, expert fees, etc.)
    • Draft and serve subpoenas
    • Compose discovery requests, answers / responses
    • Creating and maintaining a discovery index identifying production of all parties, by bates stamp numbers.
    • Review defendant discovery responses/Defendant deposition transcripts for follow up discovery
    • Update case analysis within one week of receiving Defendant's discovery answers with Defendant's policy limits.
    • Set Depositions (Request witness fee, if necessary)
    • Create motion/mediation and arbitration/exhibit binders
    • Be up-to-date with each case and work with case managers/ legal assistants to complete the background check/asset check on all Defendants and background check on clients.
    • Complete all attorney assignments in a timely manner.
    • Draft correspondence, pleadings, discovery for attorneys, save/name all documents in SmartAdvocate in accordance with Naming Protocol.
    • Calendar all case information pursuant to the calendaring protocol.
    • Answer backup calls
    • Perform backup intake calls in accordance with intake protocol.
    • Work with all staff assigned to your cases to move the case to a desired conclusion.
    • Posting all case information, case dates, and litigation information, in SmartAdvocate.
    • Prepare for trial (schedule witness statements, exhibits, UJIs, etc.)
    • Attend trial
    • Follow and maintain all firm policies and procedures.
    • Proportionately contribute to overall client satisfaction and firm revenue goals.
